GRADE BOOK POWER
=============
Teacher's Grade Book Program
Version 4.16
for use with
IBM PS/2, XT, PC and compatibles
512K and DOS 2.1 or greater required
GRADE BOOK POWER allows the use of either two-9 week or 3-6 week terms per
semester. Many special options included for both elementary and secondary
teachers. Creates over 40 different reports. Individual progress reports
for students/parents include assignment date, title, points possible,
points earned, letter grade, category averages, grading trend, personal &
general comments, absences, tardies, and missing assignments, optional
parent signature, grade override, weighting, low test throw out option,
grading scale, optional semester exam, extra credit, seating charts,
detailed attendance and tardy reports. Additional administrative and
teacher reports are also included in this new version.

Chapter 1 - GENERAL INFORMATION
1-0 INTRODUCTION
GRADE BOOK POWER can keep up-to-the-minute information for all
students. The program prepares, prints and stores information
necessary to produce comprehensive reports. You will save hours
of your time usually spent preparing for conferences, for
recording report card grades, and completing reports for
administrators.
GRADE BOOK POWER is specifically designed to be simple to
understand and easy to use. The ten menus allow easy movement
through the program so you can begin recording student grades in
just a few minutes.
1-1 REQUIREMENTS
The following equipment is needed to use GRADE BOOK POWER:
* An IBM or IBM compatible with at least 512K of memory, and two
disk drives (or hard disk drive and one diskette drive)
* A printer, capable of printing both 10 and 12 characters per
inch (condensed 16.66 cpi recommended)
* The GRADE BOOK POWER program diskette and blank formatted
student data diskette for storing student grades
* An IBM compatible mouse is optional
1-2 GETTING STARTED
Before you start using GRADE BOOK POWER, please fill out the
registration card and mail it back to us. With a completed
registration card technical support can be provided. Information
can also be sent about updates and add-on modules.
1-3 CAPABILITIES
* Can be used by all grade levels - includes many special options
for both elementary and secondary teachers
* Save data for up to 15 classes with up to 40 students in each
class
* Save data for either 4-9 week quarters or 6-6 week terms each
year
* Save data for up to 60 assignments per student per quarter or
term
* Optional use of student I.D. codes
* Easily copy student names from one class to another class
(elementary option) and from one diskette to another diskette
* Easily add a student to all classes (elementary option)
* Can automatically duplicate student data diskettes
* Can automatically alphabetize student names if desired
* Can produce blank grade book sheets with just student names

* Assignment grades are easily entered, added, revised, updated,
dropped, or weighted
* Revise assignment titles, possible points, and categories

* Student grades can be automatically adjusted if the number of
possible points (weight) of an assignment is changed
* Extra Credit points are easily entered
* Quickly display quarter(term) and semester grade when recording
or revising grades or updating missing assignments

Chapter 1 - GENERAL INFORMATION
1-4 HARD DISK INSTALLATION
If you are in WINDOWS or a software application, exit the program
or master menu to return to your DOS prompt (probably C:\>).
To Exit WINDOWS, follow these steps:
1. Hold down the Alt key and press the space bar.
2. Hold down the Alt key and press the F4 function key.
3. A message box will be displayed stating "This will end your
Windows session." Move the mouse pointer to the OK button.
Press the left mouse button once.
Now you are at the DOS prompt. C:> is displayed on the screen.
If C:\> is not displayed, Type CD\ and press the Enter key.
Now you are going to make a subdirectory, change to the new
subdirectory, and copy the files from the program diskette to the
new subdirectory.
4. Type MD GRADES and press the Enter key. You have just made a
subdirectory even though it looks like nothing was done.
5. Type CD GRADES and press the Enter key. You have just
changed to the GRADES subdirectory. The DOS prompt is
C:\GRADES>
6. Place the floppy program diskette (either 3 1/2" or 5 1/4"
size) in the disk drive. Type XCOPY A:*.* and press the
Enter key. The program files will be copied to your hard
drive. You will know the copying is done when the message "3
files copied" is displayed. You can remove the floppy
diskette from the disk drive. This floppy should not be
needed again. Store it in a safe place.
1-5 STARTING A NEW SCHOOL YEAR
This section explains how to start a new school year. The DOS
prompt should be C:\GRADES> If this prompt is not displayed,
type CD\ and press the Enter key, then type CD GRADES and press
the Enter key.
Three files (GRADES.EXE, COMMENTS.GRD, and WISORDER.DOC) must be
located in this subdirectory. The file CO will be created when
this program is properly installed. The file CO contains the
location of your student grade data.
You need to decide where to keep your student grade data and a
back up copy of your data. Each of the 3 choices have some
advantages and some disadvantages.
a. On a floppy diskette - (either A: or B:) - You would keep a
back up of your student data in the C:\GRADES subdirectory.

b. In the same subdirectory as the program. You would keep a
back up of your student data on a separate diskette inserted
in either drive A: or B:
c. In another subdirectory on your hard drive. If you make this
choice, the program will make the new subdirectory for you
when you are answering the 4 start-up questions. You should
keep a back up copy of your student data on a separate
diskette inserted in either drive A: or B:
The following instructions are followed ONLY at the start of a
school year (or you teach semester classes with totally different
students in each class each semester). I recommend that a new
formatted floppy be used for your student data. If you are
saving your student data on the hard drive, previous student data
files need to be erased. These files are from previous years.
As mentioned above, only 3 files need to be located in the GRADES
subdirectory to start the program. If your student data was
stored in a different subdirectory, all files in that
subdirectory need to be erased. GRADE BOOK POWER refuses to
overwrite existing student data files with blank files of the
same name. This was done to prevent accidentally blanking out
your valuable data. Student data file names and descriptions are
found in section 11-5.
1. If you decided to keep your student data on a floppy
diskette, place the blank formatted student data diskette in
the disk drive.
2. Type GRADES /INSTALL and press the Enter key to start GRADE
BOOK POWER for the new school year.
3. You are asked if you want to start a new school year. Press
Y for Yes. The number of classes on your data diskette is
set to 0.
4. Now you will be asked four questions so the correct file
structure can be determined by GRADE BOOK POWER.
Question 1: Drive Containing Student Data:
Enter the letter of the disk drive (and optional subdirectory) to
be used for saving your student data.
a. If you decided to save your student data on a floppy
diskette, enter either A:\ or B:\ and press the Enter key.
b: If you decided to save your student data in the same
subdirectory as the program, just press the Enter key.
c. If you decided to save your student data in a different hard
drive subdirectory, enter the drive letter and subdirectory
(for example C:\GRADES\DATA\). This subdirectory will be
created if necessary.
Question 2: Current School Year: _______
This question asks for the current school year. Enter a school

year in the format 1994-95. This information is needed for
displaying the proper semester 6 month calendar when the F2
function key is pressed and for determining attendance
information.
Question 3: Quarters (Terms) per Semester: _
This question asks for the number of terms per semester. Many
schools use two-9 week quarters (terms) per semester. Other
school districts (corporations) use three-6 week terms per
semester.
The correct number of terms (either 2 or 3) is needed so the
correct number of empty files are created for recording grades.
In GRADE BOOK POWER, term and quarter are defined as a part of a
semester.

Question 4: Starting Quarter Number: _
This question asks the starting quarter (term) number. If you
are beginning the program at the start of the school year, you
would answer 1. Teachers starting the second semester would
answer either 3 or 4, depending on the number of terms per
semester. Refer to the chart above.
After these four questions are answered, two files are created.
The file CO will be created in the program subdirectory of the
hard disk. CO contains the drive letter (and subdirectory) of
your student data.
The file CONFIG.GRD will be created on your student data diskette
or in the student data subdirectory of your hard disk.
CONFIG.GRD contains your class names, printer codes, teacher
name, school name, and other settings used by the program. Since
you haven't entered your class names or other information, the
information will either be blank, or contain default (start-up)
settings.
Press any key to remove the title screen. This title screen also
includes your serial number. The MENU BAR will be displayed at
the top of the screen.
If you have trouble seeing the menu choices, press Alt-B for a
black/white monochrome display or Alt-C for color display. The

black/white display may be necessary for some lap-top computers.
Use the right arrow key or press Alt-S to go immediately to the
SET UP MENU. Enter information such as teacher's name, school
name, printer, etc.
The last four selections of the SET UP MENU should be set for
copying the information into each class file you create. If
changes are not made, default (start-up) settings will be used.
The default settings and values are explained in Chapter 2 - SET
UP MENU.
After entering the appropriate SET UP MENU information, select
Save this Information, and press the Enter key. Your information
is kept in the file CONFIG.GRD with your student data.
Before creating any classes, you should review the last 4 items
on the SET UP MENU. To use a grading scale different from the
displayed scale, you should enter the percentages now.
Percentages can be changed later, but you will have to change
them for each class rather than just once now.
In the future, start GRADE BOOK POWER by following these steps:
1. Exit WINDOWS (follow the 3 steps above). If C:\> is not
displayed, Type CD\ and press the Enter key.
2. Type CD GRADES and press the Enter key. This command changes
to the GRADES subdirectory of Drive C: The DOS prompt
C:\GRADES> is displayed.
3. Type GRADES and press the Enter key. This command starts
GRADE BOOK POWER.
Other Start-up options are explained in Chapter 11 -
Miscellaneous. These options allow reading your student data
from your back up storage.
To return to WINDOWS, follow these steps:
1. Type CD\ and press the Enter key. This command returns you
to the C:\> DOS prompt.
2. Type CD WINDOWS and press the Enter key. This command
changes to the WINDOWS subdirectory of Drive C: The DOS
prompt C:\WINDOWS> is displayed.
3. Type WIN and press the Enter key. This command starts
WINDOWS.
Windows and Macintosh versions of GRADE BOOK POWER are planned
for the future. WISCO Computing is currently developing a new
program to generate report cards, etc. by reading the GRADE BOOK
POWER data diskettes. Contact WISCO Computing for availability.

GRADE BOOK POWER contains 10 menus. Each menu title is displayed

The TEN menus of GRADE BOOK POWER allow easy movement through the
program. The MENU BAR serves as the center of this program.
Each menu title is selected at the MENU BAR.
You can select a Menu title from the MENU BAR by:
1. Using the left or right arrow keys,
2. Holding down the alternate key and pressing the first letter
of the menu name, or
3. Placing the mouse cursor on top of the menu name and pressing
the left button of the mouse.
Menu choices are listed below each menu title. These choices are
described in other sections of this manual. Select a choice by:
1. Using the up or down arrow keys,
2. Pressing the first letter of the choice, or
3. Placing the mouse cursor on top of the choice name, then
pressing the left button of the mouse.
Choices that are displayed in red letters on a white background,
or with a bullet to the left of the choice can not be selected.
QUIT on the far right of the MENU BAR is the only way to leave
GRADE BOOK POWER. Leaving the program with this selection
insures that all student data has been safely saved on diskette.

Before entering any class information, the last 4 menu selections
can be used to change the default (starting) values. Default
values will be copied to each class file when classes are created
with the NAMES menu.
2-1 CURRENT QUARTER (TERM) NUMBER
When GRADE BOOK POWER was started for a new school year (section
1-5), the fourth question asked for the starting term number. To
change quarters, enter a number between 1 and 6. A message will
appear reminding you to transfer point subtotals and letter
grades forward with a selection from the Utility Menu. Some
schools use 6-six week terms to determine grades and others use
4-nine week quarters. In this program, term and quarter have the
same meaning.
You can always return to a previous quarter (term) to change or
update a student's grade. After making any changes, use the
Utility Menu to transfer the new point subtotals and letter
grades forward to the current quarter. Then change the quarter
(term) number back to the current quarter. Then save these
settings. The program makes faster calculations by using
subtotals.

2-2 USING STUDENT NAME OR IDENTIFICATION CODE
Most print outs on the PRINTOUT, ANALYZE, and LIST MENUS and the
ASCII diskette files can be made using either the student name or
the student identification code. Press either the Letter N for
the student Name or the letter I if the Identification code to be
used.
2-3 PRINT PARENT SIGNATURE REQUEST
There may be times when you want to send individual student
reports home for parent signatures. Press Y for Yes or N for No
to print the parent signature request.
2-4 REVISE/REVIEW COMMON MESSAGE ON INDIVIDUAL REPORTS
Messages might ask parents to call the school if they have any
questions. The message can be up to 10 lines long. A student
message could be a reminder that a book report, etc is due.
Pressing the F1 function key displays a help screen for editing
lines of the common message. The edit help screen can be
displayed through out the program to help edit text information.
After editing the last line, press the Enter key to have the
displayed information replace the information in the CONFIG.GRD
file. Then press the Escape key.
The letter Y must also be entered on the next selection of this
menu for this common message to be printed.
2-5 PRINT COMMON MESSAGE ON INDIVIDUAL REPORTS
To place the common message entered with the above menu selection
to be printed on all individual reports, answer Y for Yes or N
for No.
2-6 TEACHER'S NAME TO BE PRINTED ON REPORTS
The teacher's name is included on most print outs.
2-7 SCHOOL'S NAME TO BE PRINTED ON REPORTS
The school's name is included on many print outs.
2-8 SELECTING A PRINTER
The following printers are supported by GRADE BOOK POWER. Others
may have been added after this manual was printed.

After selecting a printer, you will be asked if the printer
status should be ignored. GRADE BOOK POWER always checks the
status of the parallel printer port before sending any data.
This normally works quite well. You may experience problems if
you map a parallel port to a serial one by the MODE command, or
if you have a non-standard, or very fast computer. The program
might actually think that your printer port (LPT1:) is busy when
you know it is not. If you have printer problems like this,
select Y for Yes to ignore the printer status.
A laser printer always ignores the printer status.
Most printers imitate one or more of the listed printers. If
your printer is not listed, check your printer manual for the
proper setting.
2-9 LPT PRINTER PORT NUMBER
This number indicates where the selected printer is connected to
your computer. Most printers are connected to port (LPT1:). If
you have additional parallel printer ports, you may use printer
port 2 or 3.
2-10 THROW OUT LOW TEST SCORE
You may throw out the lowest score in the fourth category (TEST
is the default name) only. At least two assignments (non-
EXcused) in the fourth category must have been entered for the
student before a score will be thrown out. To throw out the
lowest test score, answer Y for Yes or N for No.
2-11 METHOD TO DETERMINE GRADE ACCURACY (ROUNDING)
One of four methods may be chosen to determine the grade. The
default (starting) method is Three Decimals-Down.
1. Three Decimals-Up 3. Closest Integer
2. Three Decimals-Down 4. Full Integer
For example, if the student's grade is 89.657%, the four
different methods calculate as follows:

Method 1 (Three Decimals-Up) First finds the letter grade from
the 89.657%, then rounds up to 90% if a bottom
percentage of the letter grade is not crossed, else
89% will print.
Method 2 (Three Decimals-Down) First finds the letter grade
from 89.657%, then rounds to 89% when necessary. -
Default
Method 3 (Closest Integer) rounds the grade up to 90%, then
determines the letter grade.
Method 4 (Full Integer) drops the fraction, rounds the grade to
89%, then gets the letter grade.
2-12 REVISE/REVIEW SCHOOL LETTER GRADES
Most school systems use letter grades displayed below in the left
column (the default). Some districts do not use +'s and -'s.
Some schools use the letter E for Effort instead of the letter F.
The last letter grade by position 13 in the chart will be
calculated as 0 points earned on assignments.
GRADE BOOK POWER allows any of the first six letters of the
alphabet (ABCDEF) to be used. Each set of 3 letter grades (1-3),
(4-6), (7-9), and (10-12) must start with the same letter as
displayed in the chart. The middle letter of each group should
not have a plus or minus sign. If plus or minus letter grades
are omitted, the middle letter grade must be entered as displayed
in the second column.
If your school does not use letter grades, enter a period to
replace every letter grade.

2-13 MAXIMUM CLASS SIZE
Maximum class size (30, 32, 34, 36, or 40 students) determines
how many students are listed in each column on the data entry
screen and print outs. For example, if 30 is entered, 15
students will be listed in each column. This setting allows
maximum benefit of the cursor keys with the data entry screen.
This number can be changed at any time.
2-14 SAVING THE DISPLAYED INFORMATION
When you are done making changes, choose this selection. The
next time you start GRADE BOOK POWER, these saved values will be
used.

The following four selections represent individual options for
each class. If the default (start up) settings are changed
before creating your classes on the NAMES MENU, these settings
will be copied to each class file. This feature lets each class
have it's own grading curve, category names and weights, and
method to calculate quarter and semester grades. After classes
are created, you will have to make changes for each class. To
print the settings of all classes, choose Print Out Class
Settings in the EXTRA MENU.
2-15 REVISE/REVIEW LETTER GRADE PERCENTAGE EQUIVALENTS
These percentages should be set to your grading curve. Student
letter grades for the selected class will be determined by the
percentages listed on this chart:

After moving the cursor to the corresponding percentage, enter
the new lowest (bottom) percentage that will be accepted for that
letter grade. Enter spaces to remove any extra digits that are
displayed.
Letter grades are assigned to every assignment, category,
semester exam, quarter and semester grade, unless periods
replaced all letters.
If letter grades are entered on the data entry screen of the
STUDENT ASSIGNMENT MENU, the letter grade is assigned a numerical
equivalent. This equivalent is the number halfway between the
highest and lowest number for that letter grade. An A+ (top)
grade will be equivalent to the total number of points possible
for that assignment. The bottom letter grade (usually F) will be
assigned 0 points.
When you have finished, press the Escape key to leave this
display. Then save this information.
2-16 REVISE/REVIEW ASSIGNMENT CATEGORY NAMES
Each assignment must be in one of the four categories.
Homework, Lab, Quiz, and Test are the default categories. You
may use these or choose your own category names. Each category
name must begin with a different first letter. Only the last
category has the option of having the lowest score omitted
(thrown out) in calculating grades.
Each class may have different category names. For example, a
business teacher may teach typing and accounting. The typing
class could have a category called timings. Timings would not
make any sense in an accounting class.
After entering this information, press the Escape key to leave
this display. Then save these new category names.
2-17 METHOD TO CALCULATE QUARTER GRADES
You can calculate quarter grades by cumulative points or by
weighting each category.
If Cumulative Points is chosen, the total points earned during
the quarter will be compared to the total points possible. The
letter grade will be determined by the percentages you entered
for this class. The numbers displayed for category weights will
be ignored if Cumulative Points was chosen. Cumulative Points is
the default grading method.

Weighting causes each category to determine a set percent of the
quarter grade. For example, you can have homework count 20%, lab
10%, quizzes 30%, and tests 40%. These percentages must total
100%. Assignments in each category can also be weighted by
varying the number of points possible instead of making all
assignments worth 100 points.
If there are no points possible in a category, yet the category
was assigned a percentage weight, that weight will be distributed
to the other categories. For example, if we use the above
weights, and there have been no tests given, the 40% must be
distributed to the other categories. Otherwise, 40% of every
student's grade would include an F grade (40% of 0 points).
Adjusted weights would change to homework 33.333%, lab 16.667%,
and quizzes 50%. When the first test is recorded, the weights
would change back to their assigned weights.
If you choose weighting by category, you can not choose
cumulative points for the semester grade, since the point totals
would be misleading. After entering your quarter calculation
method, press the Escape key to leave this display. Then save
this information.
2-18 METHOD TO CALCULATE SEMESTER GRADES
To work properly, the grades from the previous quarter (term)
must be transferred forward with selections 2 through 6 of the
Utility Menu.
Six different methods can be used to calculate semester grades.
Different methods can be used for different classes.
1. Cumulative Points
2. Weight/Percentages = 100
3. Last Quarter Only
4. Weight/12 Point Scale
5. Weight/Numbers
6. Quality/4 Point Scale
If Cumulative Points is chosen, total points earned in all terms
will be added. The semester grade will be based on the total
points earned out of the total points possible. This method is
best if you have a different number of total points possible in
each quarter.
If Weight/Percentages is chosen, the semester grade is determined
by the entered weights for each term and semester exam. The
weights for the quarters (terms) and semester exam must total
100%.

If the term or semester exam has not been used, yet that term or
semester exam is assigned a percentage weight, that weight will
be distributed to the other term(s).
For example, if we use the above weights, and the semester exam
has not been given yet, the 20% must be distributed to the other
terms. Otherwise, 20% of every student's grade would include an F
grade (20% of 0 points). Since the terms are weighted equally,
the 20% would be distributed equally to the two terms. These
weights would change 1st Term to 50% and 2nd Term to 50%. When
the semester exam is completed, the grade would be calculated
based on the assigned weights (40%, 40% and 20%).
The Last Quarter Only method uses only the current quarter to
determine the semester grade. The previous quarter grades will
be printed on some reports, but they will be ignored in the
calculations.
The Weighting/12 Point Scale assigns numerical values to the
letter grades for each term. At the end of the semester, the
numerical values are added to determine the final semester grade.
The Weight/Numbers method is the same as the Weighting /Percent-
ages method, but the total does not have to equal 100. For
example, term 1 = 1, term 2 = 2, term 3 = 2, and the semester
exam = 1 for a total of 7. Each term would be 2/7 of the total
weight. The semester exam would be 1/7 of the total weight.
After entering this information, press the Escape key to leave
this display screen. Since this is an individual class option,
save this information before returning to the SET UP MENU.

Elementary Teachers
Elementary teachers who teach more than 40 students will code
each group on the Revise Student Names\I.D. selection of the
NAMES Menu. Each group (up to 40 students) is coded with the
same letter in the column labeled Grp. When printing reports,
enter the matching Group letter when requested.
Absence and tardy information is kept in the first class.
3-2 REVISE COURSE TITLE / PERIOD NAMES
The course titles and periods entered with the above selection
can be revised at any time with this selection. The second column
is used for the course I.D. and section number when generating
report cards with a different WISCO Computing program.

Move between columns of this display by pressing the Tab key or
Shift-Tab keys. To move the cursor in each column, use the up,
down, page up, and page down keys. The F1 key can be pressed to
display a help screen for editing information. The other columns
of this chart are explained in the next section of this manual.
Students can be added to classes at any time. Enter the
student's last name first so student names can be alphabetize if
desired. Do not skip any rows when entering the student names.
If you have 24 students in your class, then the first 24 rows
must have names.
This program works most effectively for elementary teachers if
the largest class is entered as class number 1. Attendance could
also be entered as the first class with no grades. Elementary
teachers must keep their attendance information in class 1. Then
use selection 5 of this menu to quickly copy these student names
from class 1 to the other classes on the data diskette or
subdirectory.

The Enter, up arrow, down arrow, tab or shift tab key must be
pressed after each student name is entered. When you have
finished entering the student names, press the ESCAPE key. Then
you will be asked if you want to alphabetize these names. Press
Y for Yes or N for No. The student names are saved before
returning to the NAMES MENU.
3-4 REVISE STUDENT NAME/I.D./TEXT FILE/SUPERDATA/SEAT
The student information entered with the previous selection of
this menu can be revised at any time with this selection. First
select the class that the student is enrolled in. The chart from
the previous page will be displayed. You can not delete students
with this selection. Students are deleted with selection 11 of
this menu.
Move between columns by pressing either Tab or Shift-Tab. To
move the cursor in each column, use the up, down, page up, and
page down keys. The F1 key can be pressed to display a help
screen for editing information.
The Class I.D. may be up to 10 letters long. Each student should
have a different Class I.D. If you post student grades, this
code can be substituted for the student name on some print outs
in place of the student name. This code might be a school I.D.,
pseudonym, text book number, social security number, etc. If
you do not want to use an I.D. code, leave this column empty.
The ASCII Text column displays the DOS filename of personal
message that can be written on specific individual progress
reports. Messages may be up to 10 lines long. A filename is
automatically entered if one is not displayed. The text editor
can be accessed by pressing Alt-T when the cursor is on the row
containing the student name. This same text can also be accessed
from the selection on the RECORD MENU. These text files are
saved on the student data diskette or in the student data
subdirectory. Pressing Alt-D deletes the text file name so the
file will not print on the reports.
When individual student reports are printed, the data
subdirectory or data diskette is checked to see if a matching
ASCII file exists. If the file exists, the information is
included on the individual printout.
SuperData is another way to group reports. For example, if the
word football was entered for all football players, you would be
able to print reports for just football players. Different
SuperData like golf or debate, etc. could be used to generate a
different group of reports.

Many print outs on the PRINTOUT, ANALYZE, and LIST menus can use
the matching SuperData from the different classes to create a
selected report. For example, if the homeroom in entered as the
SuperData for each student, combined reports for all students
from all of your classes with the same homeroom can be printed
and sorted quickly.
The School I.D. may be up to 9 characters long. Student may have
different or identical School I.D.'s. If you do not want to use
an I.D. code, leave this column empty. This code might be a
School I.D., social security number, etc. A School I.D. like
"GRADE 9" could be entered. This code is printed on Individual
Reports. Some schools use the GRADE level to initially sort
these reports prior to filing or mailing.
The School I.D. code may be used in a future version of GRADE
BOOK POWER to link to an administrative package for class
scheduling and report card generation.
The Seating Chart is labeled similar to the cells of a
spreadsheet program. The letters A through F indicate the
column. The numbers 1 through 6 indicate the row number. Row 1
is closest to the back of the classroom. Student names are
placed in the squares matching the letter/number combination from
the following chart. Student names are divided by the space
between the first and last name. Names are printed with either
10 or 12 pitch.

3-5 ELEMENTARY - COPY CLASS NAMES TO OTHER CLASSES
Student names and I. D. codes from any selected class can be
copied to any other class. Selections that only apply to elemen-
tary teachers can be turned off by the Change Miscellaneous
selection of the EXTRA MENU.
This program works most effectively for elementary teachers if
the largest class is entered as class number 1. Elementary
teachers must keep their attendance information in class 1.
After the names and codes are copied to another class, you can
revise, add or delete student names and identification codes as
desired. Student names and I.D. codes are added, revised, and

This selection quickly adds the selected student and
identification codes to all classes.
3-7 ONE CLASS - PRINT OUT STUDENT NAMES AND I.D.'S
A listing of student names and Identification codes is printed
with this selection.
3-8,3-9 PRINT OUT STUDENT NAMES - SCREEN DISPLAY
Selection 7 prints out for one class. Selection 8 prints out all
classes.
This selection prints out a student listing as they appear on the
data entry screen. Three blank lines will be printed in front of
each student name. This is an easy way to print a listing of
students that will be gone for a field trip, etc. To print a
listing of combined classes, use selection 9 of the LISTS MENU.
If you don't have immediate access to a computer to record your
grades, this print out can be used for temporarily recording
student grades. It is often much easier to enter grades from one
sheet of paper than from 40 copies of unalphabetized papers at a
computer.

Selection 9 prints out one class. Selection 10 prints out all
classes.
This selection prints out a student vertical listing with a set
of boxes like a blank grade book page.
Various selections on the Change Miscellaneous selection of the
EXTRA MENU determine the size and pitch of the boxes. Only the
Epson Printer can print the small boxes. The large boxes can be
printed with either 10 or 12 pitch with all supported printers.
This print out can be used for temporarily recording student
grades if you don't have immediate access to a computer to enter
grades. It is often much easier to record grades from one sheet
of paper than from 40 unalphabetized student papers at a
computer.

3-12 PRINT OUT STUDENT NAMES - SEATING CHART
A seating chart of six rows by six columns with student names is
printed. The desk codes are explained in section 3-4. The
Change Miscellaneous Settings determines the pitch and box
characters.
3-13 DELETE COMPLETE NAME/RECORD - ONE STUDENT
Student information entered with selection 3 of this menu can be
deleted at any time with this selection. If you need to keep
some record of the student grades, you should either make an
individual printout for the student first.
First select the class the student is enrolled in. Then move the
cursor with the up or down arrow key to the student to be
dropped. The Number of the student will be displayed. Press the
Enter key to continue. A message stating all records from all
terms of the semester for this student will be deleted. Press
any key except the ESCape key to continue. Enter the word DELETE
to confirm.
If you enter the word DELETE, all information, including name,
identification code, and all grades will be removed.
An alternative way to keep the information about a student is to
EXcuse the student from all future assignments. This is done
with the MISSING ASSIGNMENTS MENU.
When switching semesters with full year courses, copy all
students to the new semester, then delete the students from the
new semester. This way you can keep the complete student data
for the first semester, and have the correct list of names for
the second semester.
3-14 DELETE ALL STUDENT NAMES AND GRADES - ONE CLASS
All information about a class can be deleted with this selection.
First select the number of the class. The current class name
will be displayed. Below the class name you must enter the word
DELETE.
If you enter the word DELETE, all information about the class,
including all students, I.D.'s, and all grades will be removed.
Use this selection with great care.
This selection is usually used by teachers who have a mixture of
classes of different durations. For example, some classes may
only last one quarter or one semester while others may last all
year. If you need to have a record of these grades, make sure
you make detailed print outs of the classes before deleting them.

4-1 RECORD GRADES OF A NEW ASSIGNMENT
When selections are made from the STUDENT ASSIGNMENT MENU, your
list of classes are displayed.

Move the cursor to the class to be used to record new assignment
grades. The list of student names and previous assignments for
the selected class will be read from the subdirectory or student
data diskette. The last 10 assignments that you recorded will be
displayed to help prevent recording an assignment twice. Press
any key to continue.
Grades for 60 assignments can be recorded for every student every
quarter (term). If you have more than 60 assignments in one
quarter, you may want to consider using the Utility Menu
selection to create a new diskette for the current semester, then
transfer the point subtotals to the new diskette.
The semester exam is assignment number 61. The semester exam can
only be recorded in the last (quarter) term of a semester.
4-1-1 ASSIGNMENT TITLE, WEIGHT, AND CATEGORY
The system date is displayed on the first line. If the date is
acceptable, you can press the Enter key to go to the Assignment
Title line. If you want to delete the displayed date, press Alt-
D. You may optionally enter a date that will be printed on
different print outs. If you need to display a calendar to help
determine the date press the F2 function key.

The assignment title can be up to 17 letters long. Any number of
points may be assigned to an assignment. Enter the assignment
title and press the Enter key.
If this is an EXTRA CREDIT assignment, enter 0 for the number of
possible points. Then enter the first letter of the category
from the chart. Each category name must start with a different
letter. Categories for each class can be changed with the SET UP
MENU.
If you are recording the same assignment for different classes,
you can press Alt-R to quickly Repeat the assignment date, title,
points possible, and category. Then press Enter to go to the
data entry screen.
4-1-2 THE DATA ENTRY SCREEN
Either numbers or letter grades may be entered on the data entry
screen. The top part shows class name, number and name of the
assignment and possible points to be earned on the assignment.
The class average is displayed after the student scores have been
entered.

4-1-3 ENTERING NUMBER GRADES
If the entered number grade is greater than the number of
possible points, a message will be displayed. If you made a
mistake when recording the grade, you can reenter the correct
grade. The student could have earned a higher point total
because extra credit points may have been included in the
assignment.
4-1-4 ENTERING LETTER GRADES
Letter grades A+, A, A-, B+, B, B-, C+, C, C-, D+, D, D-, and E
or F (or from your custom grading scale) may be entered. After
entering the letter, enter either the + or - or space. The
cursor will move to the next student. When the average,
category, cumulative, and final grades are calculated, these
letter grades are converted to numerical equivalents.
The letter grade A+ is converted to 100%. The letter grade of E
or F is converted to 0 percent.
Other percentages are found by taking the average of the bottom
and top percentages in each letter grade range. For example, if
the bottom B- is 80% and the bottom B is 83.333, the letter grade
of B- is assigned the average 81.667.
Then the percentage is multiplied by the number of possible
points (weight) entered with the assignment title, category, and
date to determine the points earned.

4-1-5 ENTERING SPECIAL GRADES
Special grades can also be entered by holding the Alternate key
down and pressing the first letter of the special grade. After
the special grade is entered, the cursor moves to the next
student.
Alt-A = ABSENT The letters AB will be displayed on the data
entry screen. This grade is ignored when computing the class
average and considered equal to 0 when individual student average
is computed. The difference between Alt-I and Alt-A is explained
in Chapter 11 Miscellaneous Information.
Alt-B = BLANK ■■■ The displayed grade will be blanked out as
if no grade was entered for the student. This grade is ignored
when computing individual and class averages. This grade is
ideal for self-paced courses.
Alt-C = CHEAT or CHECK MARK The letters CH or CM will
displayed on the data entry screen. The Change Miscellaneous
setting of the EXTRA MENU determines if Alt-C represents CHEAT or
CHECK MARK. If Alt-C represents CHEAT this grade is considered
equivalent to 0 when class and individual student averages are
computed. If Alt-C represents CHECK MARK, the mark is ignored in
all averages.
Alt-E = EXCUSED The letters EX will be displayed on the data
entry screen. This grade is ignored when computing the class and
individual student averages. This grade is issued when it might
be impossible or impractical to make up a missed assignment.
Alt-I = INCOMPLETE The letters IN will be displayed on the data
entry screen. The grade is considered equivalent to 0 when class
and individual student averages are computed. The difference
between Alt-I and Alt-A is explained in chapter 11 Miscellaneous
Information.
Alt-N = NO CREDIT The letters NC will be displayed on the data
entry screen. The code NC indicates the assignment was not
turned in. This grade is considered equal to 0 when class and
individual student averages are computed.
Alt-P = PERFECT SCORES FOR CLASS Some teachers give
assignments that all or nearly all students get perfect scores.
A perfect score will be entered for those students without a
previously entered assignment. By pressing Alt-P, the possible
points (weight) that were entered with the assignment title, and
category will be quickly entered for all students. Then it
becomes a simple task of using the cursor keys to edit the scores
that were not perfect.

Alt-U = UNEXCUSED The letters UN will be displayed on the data
entry screen. This grade is considered equivalent to 0 when
class and individual student averages are computed.
Alt-Q = QUICK GRADE for the selected student. Pressing Alt-Q
will display the current quarter(term) and semester grade for the
selected student. This key combination also displays these
grades when revising and recording grades and updating missing
assignments.
4-1-6 CURSOR MOVEMENT AND SHORTCUTS
The Enter key does not have to be pressed after each grade is
entered. Any cursor movement keys can be pressed, automatically
entering the displayed grade into the computer's memory and
moving the cursor to the next place to enter a grade. If the
Enter key is pressed, the cursor moves down one student. If the
cursor is at the last student, the computer will beep, and the
cursor moves to the first displayed student.
The mouse can also be used to move around the data entry screen.
The BACKSPACE key will delete the digit or letter to the left of
the current cursor position. The UP ARROW key moves the cursor
up one student. If the cursor is at the first student, the
computer will beep, and the cursor will move to the last
displayed student. The DOWN ARROW key functions identically to
the Enter key when the data entry screen is displayed.
The RIGHT ARROW key moves the cursor horizontally to the right
column of names. If no name is at this location the cursor will
move to the last displayed student name. The LEFT ARROW key
moves the cursor horizontally to the left column of student
names.
The PgUp key moves the cursor to the most previous blank, ABsent,
or INcomplete grade. If there are no missing grades, the cursor
will remain in the same place. The PgDn key moves the cursor to
move to the next blank, ABsent, or INcomplete grade. If there
are no missing grades, the cursor will remain in the same place.
4-1-7 COMPLETION OF GRADE ENTRY
When you have completed recording grades for an assignment, press
the ESCAPE key. The calculated class average and average letter
grade will be displayed. Then the following options will be
displayed:

Normally the letter S is pressed to save the displayed grades to
diskette. After the grades are saved, you will be asked if you
want to record other grades for this class. If you answer Y for
Yes, the last 10 recorded assignments will be displayed.
After pressing any key to continue, you can enter the date,
title, possible points (weight), category, and grades of another
assignment.
If you had accidentally pressed the ESCAPE key or notice a
mistake in the entered grades, you can press the letter C. The
cursor will return to the first displayed name.
If the letter N is pressed, the displayed grades will not be
saved to diskette. Then you will be asked if you want to record
other grades for this class. If you answer Y for Yes, you will
be ready to record grades for a new assignment.
4-2 REVISE GRADES OF A PREVIOUS ASSIGNMENT - ONE CLASS
If you notice an improperly recorded grade, you can easily revise
the grade. After selecting the class, the list of previously
recorded assignments will be displayed. Move the cursor to the
assignment, and press the Enter key twice.
The data entry screen with all recorded grades for the assignment
will be displayed.

Use the cursor keys or mouse to move to the student grade. There
are two ways to save these changes and continue revising grades
of a different assignment.
When you have completed revising the displayed grades, you can
press the ESCAPE key. The new class average will be computed and
displayed. The revised grades can then be saved to diskette.
Then you will be asked if you want to revise other grades for
this class. If you answer Y for Yes, the list of previously
recorded assignments will be displayed. After selecting the
assignment again, you can revise the grades of a different
assignment.
Revised grades can also be saved by pressing Function key F10.
Pressing F3 will display the previous assignment for the class.
Pressing F4 will display the next assignment for the class.
Selection 1 of the MISSING ASSIGNMENT MENU allows quick revision
of student grades for all assignments that were previously
recorded as INcomplete, ABsent, or Blank. Selection 7 of the
MISSING ASSIGNMENT MENU lets you revise the grades of all
previous assignments for one student.
4-3 REVISE ASSIGNMENT TITLE, POINTS, OR CATEGORY
This option also lets the teacher automatically adjust the
possible student points on each assignment. After selecting the
class and assignment number to revise, the following screen will

If the Possible Points (Weight) was changed and numerical scores
were previously recorded for this assignment, you will be asked
if you want to adjust the student points.
You would press N for No if you had made a mistake and just
wanted to correct this value. You would probably press Y for Yes
if you wanted to increase the weight of this assignment. For
example, the displayed assignment is worth 20 points. If you
changed the point value to 40 points, This assignment would have
twice the weight that it previously had.
If Y is pressed, then every student's numerical score will be
adjusted automatically for this assignment. For example, if a
student had previously scored 15 out of the 20 points, and the
weight was doubled to 40 points, the student's grade would
automatically be doubled to 30 out of 40 points.
If letter grades were previously entered for this assignment, the
grades are automatically adjusted when the new weight is
multiplied by the numerical equivalent. These changes are
automatically saved to the diskette.
4-4 DELETE ONE ASSIGNMENT FOR ALL STUDENTS - ONE CLASS
After selecting the class number, the list of previously recorded
assignments will be displayed. Enter the assignment number to be
deleted. The assignment title, possible points, category, and
student grades for the assignment will be deleted.
4-5 RECORD/REVISE PERSONAL COMMENTS - CURRENT QUARTER
After selecting the class, a data entry screen will be displayed.
Up to two personal one line comments can be printed on individual
reports each quarter. If you want a longer personal message to
the student, use the Text entry selection from the RECORD MENU.
The 81 comments available are divided into five groups.
Comments 1-15: IN CLASS PARTICIPATION
Comments 16-28: ATTITUDE/EFFORT
Comments 29-40: HOMEWORK/ASSIGNMENTS
Comments 41-62: SKILLS/ABILITY

Pressing Alt-F flips between the two comments that can be entered
for each student. Pressing Alt-B blanks out a student comment
number.
The comments made for each student can be also be printed with
this selection. The numbers are not printed on individual
student reports.
4-6 SEMESTER EXAM GRADE - RECORD/REVISE
The assignment title is set to SEMESTER EXAM. All letter grades
and values that could be entered with regular assignments may be
entered. This exam can only be entered in the last quarter
(term) of the semester. The semester exam is assigned assignment
number 61 and may be displayed and analyzed by entering 61 on the
PRINT OUT and ANALYZE MENUS.
4-7 ABSENCES - TARDIES - RECORD/REVISE
You will not be able to use this selection until two entries on
the EXTRA MENU are completed. You must complete the Set Term
Start/End Dates and the Select Non-Student Days selections. Up
to 80 student days are available for each quarter (term).
ELEMENTARY TEACHERS:
Elementary teachers should only keep attendance in the first
class and just print reports for that class. If Secondary Level
Menu Selections on the Change Miscellaneous Selection of the
EXTRA MENU was set to be locked out, the class name will not be
printed.
After selecting the class, a floating spreadsheet will be
displayed with the student names on the left and the columns
representing the days. The F2 function key can also be pressed
to display a calendar. If you are in first semester, August
through January will be displayed. If you are in the second
semester, January through June will be displayed.
In the upper left corner, the day of the current quarter (term)
and date are displayed. The student names will remain displayed
on the screen as you move around the spreadsheet. The > symbol
is displayed on the student row to help indicate the correct
student. As you move the cursor to the left or right, under the
columns, the Day Number-Date displayed in the upper left corner
changes. As the cursor is moved up or down the > symbol
displayed next to the student name also moves. All cursor key

movements that can be used on a spreadsheet, including Home,
Ctrl-Arrow, Pg-Up and Pg-Dn are supported. When the cursor is in

AHFEXS and U are all included when calculating total absences.
Total absences and tardies are displayed on the Revise Student
Names selection of the Names Menu. Totals are also included on the Individual
Student Progress Reports printed from the PRINT OUT MENU.
When you have completed recording absences and tardies, press the
ESCAPE key. The following options will be displayed:

<N>ot save these marks
Normally the letter S is pressed to save these marks. After these marks are
saved you are returned to the Main Menu. If you
had accidentally pressed the ESCAPE key, or notice a mistake in
the display, you can press the letter C. The cursor will return
to the first displayed name. If the letter N is pressed, the
displayed attendance marks will not be saved to diskette.
The next time this menu selection is made, the previously
recorded marks will be read from the data subdirectory or student
data diskette. As you move through the quarter (term) the
program will display that part of the sheet near the current
system data.

4-8 TEXT FOR INDIVIDUAL REPORTS - RECORD/REVISE
After selecting the class and student, a personal message box
will be displayed which allows up to 10 lines of text to be
entered, saved, and printed on individual reports. Pressing the
F1 function key will display a help screen for editing the lines.
The Enter key must be pressed before pressing Escape to make sure
the last line properly replaces the last line in the computer's
memory.
The following options will be displayed:

Normally the letter S is pressed to save the text. After the
text is saved you are asked if you want to view/edit other text
files for this class. If you press Y for Yes, the class names
are displayed for your selection. You can press Escape twice to
leave this selection if necessary. Pressing N for No, returns

select the student and use the tab key to move to the ASCII Text
column. Press Alt-D to Delete the displayed filename. Press the
Enter key. Then press the Escape key. Then press S to Save the
displayed information.

the down arrow or page down key to scroll through this information. The
student's category averages, category points and letter grades, final point
totals and grade are displayed at the bottom of this scrollable screen.
Press the Escape key to leave this display.
After the Escape key was pressed, you may press the letter P to print this
information or V to View the grading scale.
The grading scale is based on the number of total points possible, weights
or percentages selected with the SET UP MENU.
The print out includes the assignment information, grading trend, last
quarter grade, category averages, quarter grade, semester grade, grading
scale, absences, tardies, and personal comments.
Semester grades will not be included on the print out if No was selected on

be printed. As each student report is processed, the name will be displayed
on the screen. To start printing reports at a student other than the first
student, select Advance Student Number on the EXTRA MENU before using this
selection.
6-3 PRINT OUT INDIVIDUAL STUDENT REPORTS - ALL CLASSES
The individual student reports of all students in all classes will be
printed. To start printing reports with a class other than the first class,
select Advance Class Number on the EXTRA MENU before using this selection.
Make sure the printer has enough paper to print all reports.
Semester grades will not be included on the print out if No was selected on
the Change Miscellaneous Settings of the EXTRA MENU.
6-4 PRINT OUT INDIVIDUAL STUDENT REPORTS - ELEMENTARY
All reports for one student in all classes will be printed before advancing
to the next student. Make sure that the printer has enough paper to print
all these reports.
Elementary teachers with more than 40 students should enter the group letter
that matches the letter entered in the last column of the table from the
Revise Student Name\ID selection of the NAMES menu. This program processes
up to 40 elementary students at one time.
6-5 PRINT OUT INDIVIDUAL STUDENT REPORTS - DEFICIENCY
This selection searches all classes. If the student's current percentage is
equal to or below the deficiency percentage entered with this selection,
then an Individual Student Report will be printed. These reports are ideal
for providing guidance counselors with detailed information about students
performing below average. Some schools have substituted this report for
school deficiency reports that are sent home to parents.
6-6 PRINT OUT INDIVIDUAL REPORTS - MATCHING SUPERDATA
This selection will search all classes. If the student's SuperData is the
same as the requested SuperData, an Individual Student Report will be
printed. This set of reports is ideal for providing coaches with detailed
information about student academic performance. The SuperData is listed in
the SuperData column of the Revise Student Name chart viewed with the NAMES
MENU.
6-7 PRINT OUT COMPLETE DETAILED RECORDS - ONE CLASS
After selecting the class, the detailed record print out will be in either
12 pitch or condensed pitch. The pitch was set with Change Miscellaneous
Selection of the EXTRA MENU. This detailed record can be glued into your
school grade book at the end of each quarter.

If I.D. was chosen with selection 2 of the SET UP MENU, the detailed record
will be sorted before it is printed. Sorting can be by either quarter or
semester grade.
6-8 PRINT OUT COMPLETE DETAILED RECORDS - ALL CLASSES
The detailed record for every class will be printed. The detailed record
includes all student names, all assignment grades, category and final
averages. All assignment dates, titles, point values, categories, and the
class averages for each assignment will be printed. This complete
information for each class is printed on either 1 or 2 sheets of paper.
These print outs can be printed in either 12 pitch or condensed pitch. The
pitch is set with Change Miscellaneous Selection of the EXTRA MENU. These
detailed records can be glued into your school grade book at the end of each
quarter. A sample detailed record is displayed on the previous page.
This selection should be used periodically to create printed copies of your
grades. These detailed records can be glued into your grade book at the end
of each quarter. Periodic printing can help prevent panic if your data
diskette becomes accidentally damaged. This is also why back-ups of the
student data should be made periodically.
The line below this menu selection displays the date (from the system date)
that detailed records of all classes were printed.
6-9 SAVE DETAILED RECORDS AS ASCII FILES - ALL CLASSES
This option saves the detailed record for all classes as an ASCII file on
the diskette. These files can be accessed by other programs. The detailed
record includes all information displayed on page 46. If I.D. was selected
with selection 2 of the SET UP MENU, the detailed record will be sorted
before it is saved.
Three formats are available when making this selection. ASCII, Comma
Delimited or Flat. ASCII files save the information exactly as stored in
the .DA_ files. Flat files put a space between each of the assignment
grades making the grades easier to read. Comma Delimited files place each
grade between double quotes and a comma. Comma Delimited
files can be read by programs like LOTUS 1-2-3.

After selecting the assignment number in each class, a sorted chart will be
printed showing the student grades on the selected assignments. A grade
distribution chart for all students in the selected classes will also be
printed. Two classes will be printed on each page of this report. A sample
of this print out is on the following page.
This selection is useful for secondary teachers to print a listing of test
results for several classes. This allows the teacher to quickly view the
range of scores in all classes, listing the students that need to make up
the test, and the class averages of the test. The distribution chart is
also helpful to show the relative strengths of each class.
If I.D. was chosen in place of the student name, the student class I.D. code
will be printed instead of the student name.
7-3 VIEW/SORT/PRINT OUT CATEGORY GRADES - ONE CLASS

After selecting the class, you will be asked if you want to use the calendar
or the listing format.
The calendar format includes the six months of the current semester. If the
student was absent or tardy, the letter recorded for selection 7 of the
RECORD MENU replaces the day numeral on the calendar. This display and
print out makes it easy to spot absence and tardy patterns.
A summary of total absences and tardies for each quarter (term) and semester
are displayed and printed below the calendar.
The listing format displays and prints the day and date of the absences. A
summary of total absences and tardies for each quarter (term) and semester
are displayed and printed.

For LaserJet printers, an attempt is made to use the PC-8 character set
which supports line drawing. The default set of the laser printer (Roman-8)
does not support the line drawing characters.
ELEMENTARY TEACHERS:
Elementary teachers should keep attendance in the first class and just print
reports for that class. If Secondary Level Menu Selections on the
Miscellaneous Settings of the EXTRA MENU were set to be locked out, the
class name will not be printed.
After viewing or printing a student report, you can return to the PRINT MENU
or continue to view/print other reports. Pressing the letter Y will display
the student list again. Then you can select which student to view.
Pressing the letter K (Keep Going) will display the next student's report.
Pressing the letter N for No returns you to the PRINT MENU.
7-11 INDIVIDUAL ATTENDANCE REPORTS - PRINT OUT - ONE CLASS

This selection combines summary information into a new file. Every
selection on this menu uses this new file. This file CLASSALL.TMP includes
the student name, I.D., superdata, class, marker to identify missing
homework, current quarter grade, semester grade, and improvement from
previous quarter.
If the letter M is displayed or included with printouts from this menu, it
indicates the student is missing an assignment. If Class I.D. was selected
on the SET UP MENU, printouts use the I.D. instead of the student name.
The line below this menu selection displays the date (from the system date)
that CLASSALL.TMP was created. If grades are added or revised with other
menu selections, this file needs to be recreated to reflect those changes
before new printouts are made.
8-2,8-3,8-4 QUARTER/SEMESTER GRADE LISTINGS
You will be asked if the quarter or semester grades should be used to
determine student rankings. Selection 2 allows you to view all students and
optionally print the top 20 students from all classes.
Selection 3 combines all students from all classes for the printout.
Selection 4 allows you to choose which classes will be included in the
combined print out. You will be asked if you want to alphabetize the list
(by either name or I.D.), and if you want to include the rank number on the
complete print outs. The letter M on the printouts indicates the students
with missing assignments.

Selection 5 allows viewing all students and printing the 20 most improved
students from all classes. Selection 6 ranks all students from all classes
by their improvement from the previous quarter and makes a printout. You

I.D.), and if you want to include the rank number on the complete print out.

These menu choices can not be made if the current quarter is the first
quarter (term) of a semester.
8-7,8-8 DEFICIENCY AND SUPERDATA RANKINGS
Selection 7 will include all students with have a percentage equal to or
less than the deficiency percentage. Selection 8 includes all students with
SuperData matching the requested SuperData.
You will be asked if you want to alphabetize the list (by either name or
Class I.D.), on the complete print out. The letter M on the printouts
indicates students with missing assignments.
These selections are most useful to make a one page summary report of
students matching either the superdata or earning a low percentage. The
SuperData was entered in the SuperData column of the Revise Student
Names/I.D. selection of the NAMES MENU.

8-9 DEFICIENCY SUPERDATA MATCHES - ALL CLASSES
This selection makes a summary report of students matching both the
SuperData and earning a low percentage. This printout makes it very easy to
provide a student listing for school districts and states using the NO-PASS-
NO-PLAY rule. SuperData was entered in the SuperData column of the Revise
Student Names/I.D. selection of the NAMES MENU.
For example, SPORT could be entered in the SuperData column of the Revise
Student Name/I.D. selection of the NAMES MENU. When this selection is made,
enter the deficiency percentage and SPORT for the matching SuperData. All
students having a percentage equal to or less than the deficiency percentage
and having SPORT for the SuperData would be printed on this report.
8-10,8-11 ALPHABETICAL LISTING
These selections were designed to only print the student names and
optionally the class name and section. If you desire a student listing with
a box grid after the students names (similar to a grade book page) use the
Vertical Listing print out from the STUDENT NAMES MENU. Student names with
three blank lines in front of their names are printed with the Screen
Display print out from the STUDENT NAMES MENU.
Examples of the Vertical Listing and Screen Display print outs are found on
page 27 of the manual.
Selection 10 allows you to choose which classes will be included on the
alphabetized print out. You will also have the option to include the class
name and section. Secondary teachers can choose which classes to include.
Elementary teachers should choose their largest class which is recommended
to be the first class.
Selection 11 prints a listing of those students with matching SuperData.
The SuperData was entered in the SuperData column of the Revise Student
Names/I.D. selection of the NAMES MENU.

9-1 COPY ONLY NAME/I.D.'S TO NEW SEMESTER - ALL CLASSES
Student names and I.D. codes from your original student data diskette are
placed on a new diskette with blank data files. The new data diskette may
be for the Current Semester or Next Semester.
Files for first semester and second semester can be kept in the same
subdirectory and data diskette because they have different filenames. If
data is kept on a diskette, I strongly recommend you use a different
diskette for each semester. If someone spills coffee on your diskette
floppy, you will loose only one semester of data, not both. Considering the
price of floppy diskettes, this is cheap insurance for your valuable data
and time.
When GRADE BOOK POWER was installed, one of the four questions asked for the
number of terms per semester. Some school districts use two-9 week term per
semester. Other school districts (corporations) use three-6 week terms per
semester.

No assignments or student grades will be copied to the new semester. If the
Escape key is pressed during the copying procedure, the copying will be
aborted and you will return to the UTILITY MENU.
A blank data diskette for the current semester could be used to record more
than 60 assignments per quarter for each student. For example, a teacher
may wish to place all daily grades on one data diskette, and summarize these
daily scores with weekly quiz and test scores on another data diskette. The
student would then be given two very complete print outs for each quarter.

A different blank data diskette should be used for each semester. When this
selection is used, the quarter (term) number will be automatically advanced.
After the student names, I.D. codes, and seating chart information are read
from the source (ORIGINAL) student data diskette is read, REMOVE that
diskette and INSERT the NEW student data diskette in that drive. Names,
I.D.'s, and the empty class files for recording new assignments will be
created for you. If the new class files are not created for the new
semester, you are likely to get the Error "Input past end"
If the new .DA_ file already exists, GRADE BOOK POWER will not create a new
file that would destroy your existing data.
9-2 TRANSFER TOTALS TO NEXT QUARTER (TERM)
Selections 2 through 6 transfer letter grades and point subtotals to the
next quarter. Selections in red or with a bullet to the left of the choice
can not be selected because the term is in the opposite semester.
Grades for each quarter (term) are stored on each diskette. At the end of
each term, use these selections to transfer student point totals and quarter
letter grades to the next term of the semester. Print outs that include the
LAST QTR grade use this information transferred with these selections.
These points are NOT included in the student's semester grade if Last
Quarter Only was chosen as the method to calculate semester grade with the
SET UP MENU.
9-3,9-4 ADJUST CURRENT TERM/SEMESTER LETTER GRADE
Occasionally it might be necessary to adjust a student's semester or current
quarter letter grade. This description applies to adjusting either the
current quarter or current semester grade.
If a percentage, letter grade or special grade is entered, this grade will
override the grade that the student really earned. This new grade will be
printed on all reports for the student and used in all calculations and
distributions. The student point totals are not changed. If no change is
made, the regular grade that the student earns will be printed on all
reports.
To blank out the adjusted grade, enter Alt-B for Blank. Enter Alt-I for
INcomplete. If Alt-E for EXcused is entered, the Individual Student Report
of the PRINT OUT MENU will not be printed for this student.

Chapter 9 - GRADE UTILITY MENU
The F1 function key can be pressed to reveal a help screen for cursor
movement and special grades that can be entered. Press any key to remove
this help screen. You are only allowed to enter your changes in the first
column by the student names. The column is labeled either Let for Letter
Grade or Per for Percent. To enter the matching letter grade or percent
press Alt-F to flip the columns. Then you can enter the information in the
new first column.
9-5 TRANSFER ONE STUDENT'S GRADES TO A DIFFERENT CLASS
When a student transfers to a different section of a course you teach, you
can copy the student's name, I.D. codes, and grades to the new class. First
select the current class the student is in, then the student number, then
the class that the student will be transferred to.
This selection assumes the same assignments were entered in the same order
in both classes. If assignments were not entered in the same order, use
selection 3 of the NAMES MENU to add the student to the new class. This
student will receive an EXcused grade for previously entered assignments in
the new class. Then use selection 8 of the MISSING ASSIGNMENT MENU to
revise the EXcused grades.
No information is removed from the original class. To delete all student
information from the original class, use selection 11 of the NAMES MENU. To
keep all information about this student in the original class, EXcuse the
student from future assignments in the original class. This is done by
selection 7 of the MISSING ASSIGNMENT MENU.

starting class number will remain active until you leave GRADE BOOK POWER or
reset this number back to 1.
This selection can be helpful if you are in the middle of printing and the
paper jammed in the printer, or Escape was pressed to stop printing the
reports.
10-6 RUN GRADE MODULES
When this choice is selected, you will be asked which module. The following
modules are included in the program. Other modules may be added after this
manual was printed.
Module 5: In case a mistake was made when starting the school year, this
module lets you change the number of terms per semester. Blank files for
the student data still need to be created.
Module 6: Adds common School I.D. to all students in all classes. This
feature is useful to quickly add the grade level "GRADE 9" to all students
to be included on the individual reports. The entered information replaces
any information that was previously entered.
Module 7: Removes the point totals and grades transferred forward with the
Utility Menu.
FUTURE PLANS:
WISCO Computing may develop and other programmers may write other modules
that use information from the GRADE BOOK POWER name, data, attendance,
listing and CONFIG.GRD files. Examples of other modules include graphics
routines, special class cards, school scheduling, school report cards, word
processing, trouble shooting, etc.
Depending on registered user interest, WISCO Computing could become a
clearing house for all these neat modules that help make computing both fun
and productive. If you have any suggestions or special needs let me know.
Based on demand, your feature could be included in the next version of GRADE
BOOK POWER.

This selection automatically makes a back up copy of the student data
diskette without using the DOS utilities. Follow the instructions on the
screen.
The original student data diskette must remain in the regular disk drive.
You may press the ESCAPE key to leave this selection.
If you are backing up your data to a hard drive subdirectory that contains
the program, you would enter C:\GRADES\
If you are backing up your data to a diskette, you would only need to enter
the Drive letter and the colon and back slash, for example A:\
If necessary, place a formatted diskette in the BACK UP disk drive. Press Y
for Yes to Continue with the BACK UP process.
The student name, data, attendance, and note pad files will be read and
copied to the back up diskette. The ASCII Text files printed on the
individual reports (displayed on the Revise student Names/I.D. selection of
the NAMES MENU) are not backed up. If the BACK UP diskette was in the drive
that normally contains the program diskette because you only have two disk
drives, return the GRADE BOOK POWER program diskette to that disk drive.
Then press any key to continue.
If your original data diskette becomes damaged, you will have to read the
student data from your back up diskette. This is easily done. Use the DOS
program COPY or XCOPY to copy all files from your backup diskette (or hard
drive subdirectory) to the new data diskette.
GRADE BOOK POWER can also read the backup diskette directly by starting the
program with the command GRADES /J You will be asked to enter the drive
containing the student data. If your back up data is on a diskette, enter
the drive letter, colon, and back slash, for example, A:\ If your backup
data is in a hard drive subdirectory, enter the drive letter, colon, back
slash, and subdirectory name, for example, C:\GRADES\ Then you will be
asked if you are ready to read the new data. Press Y for Yes. You should
then either save the new drive information by saving the information in
memory with the SET UP MENU, and make a back up of this data to another
floppy diskette.
This new drive information will be used until you change it again by
starting GRADE BOOK POWER again with the GRADES /J option. Then enter the
old drive information, and save that information with the SAVE selection of
the SET UP MENU.

10-8 PRINT OUT CLASS SETTINGS
This selection allows you to print out the individual class settings. The
SET UP MENU allows each class to have different settings. Six classes are
printed on each sheet so you can quickly compare settings made for different
classes. The letter-percentage equivalents, categories, methods to calcu-
late quarter and semester grades, weights of each category (if applicable),
and weights of each grading quarter (term) and semester exam (if applicable)
are printed. These settings are entered or changed with the last four
selections of the SET UP MENU.

Up to 127 color combinations may be used by GRADE BOOK POWER. When this
selection is made, a chart showing the 127 color combinations and their
associated numbers is displayed. The default values for screen colors are
listed below. The first column is for color monitors. The second column is
used for monochrome monitors. You may enter different numbers from the
displayed chart:

When you have finished entering the color numbers, press the Escape key.
Then press a number for the mouse cursor color. The (1-7) number refers to
the chart column. For example 4 represents red. Some menu selections
deliberately turn the mouse cursor off to prevent accidental loss of data.
The mouse cursor is turned back on when appropriate. The press Y for Yes to
save these changes.
10-10 CHANGE MISCELLANEOUS SETTINGS
When this selection is made, another screen of settings is displayed. Use
the up and down arrows to move between settings. These settings further
customize GRADE BOOK POWER. Press the letter Y for Yes or N for No. The
program ignores settings that do not apply to your equipment. Press Escape
when you have finished your settings. Then you can save these settings.
10-10-1 INCLUDE SEMESTER GRADE ON PRINT OUTS
Some teachers prefer not to print semester grades on individual reports
until the end of the semester as a method of student motivation.
This setting is most useful when semester grades are calculated by
weighting. The most common use would be for printing reports early in the
second or third terms of the semester. When weighting is used to calculate
semester grades, second (or third) term points have a much higher effect on
the semester grade early in the term.
10-10-2 PAPER/RIBBON SAVE OPTION
Missing assignments for individual students can be printed with either one
or two students per page. If Yes is selected, 2 students will be printed
per sheet. Then you will have to cut the paper in half. If No is selected,
one student will be printed on each page.
The ribbon save feature is useful when printing the vertical listing on the
NAMES MENU. If No is selected, all rows of the grid will be printed. If
Yes is selected, only one extra row is printed.
10-10-3 USE 12 PITCH FOR VERTICAL STUDENT LISTING
The Vertical Listing print out of the NAMES MENU prints the student names
followed by columns (similar to a blank grade book page). If No is
selected, the print outs will use 10 pitch. An example of the vertical
student listing is displayed on page 25.

10-10-4 FLIP SEATING CHART CELL LABELS
When set to No, the seats are labeled like a spreadsheet as displayed on
page 25. However, some teachers prefer the front of the room to be labeled
as the first row (A1, B1, C1, etc.). When set to Yes, A1 swaps places with
A6, A5 with A2, A3 with A4, B1 with B6, etc.
10-10-5 USE CONDENSED PITCH FOR DETAILED PRINT OUTS
The detailed reports for the daily assignments can be printed with either 12
pitch or condensed (16.67) pitch printing. This detailed report is usually
glued in the grade book to show all student grading information. A detailed
record print out is displayed on page 46.
10-10-6 USE LARGE SQUARES FOR VERTICAL STUDENT LISTING
This selection applies only to Epson printers. It allows the boxes to be
either large or small. Other printers will print large boxes.
10-10-7 LOCK OUT ELEMENTARY SCHOOL MENU SELECTIONS
Selections which are not needed by secondary teachers are locked out. This
prevents the teacher from making an accidental selection.
10-10-8 LOCK OUT SECONDARY SCHOOL MENU SELECTIONS
Selections which are not needed by elementary teachers are locked out. This
prevents the teacher from making an accidental selection.
10-10-9 USE ALT-C FOR CHECK MARK INSTEAD OF CHEAT
Individual Student Grade Reports now have the option of using CM for Check
Mark or CH for CHeat. The mark is recorded by pressing Alternate-C. The
check mark is not used in determining a student's grade. CM is functionally
equivalent to an EXCUSED grade. The CM mark allows the teacher to record
information such as a paid lab fee, or dressing for a physical education
class without giving a letter or numerical grade.
10-10-10 PRINTER SUPPORT FOR LINE DRAW CHARACTERS
This setting is used to print the calendars of the Individual Attendance
Reports. If the wrong setting is made a series of weird or foreign language
characters are printed for the line borders of the calendar months. If No
is selected, regular characters (dashes, the plus sign, and vertical bar)
are substituted for the line drawing characters.

For LaserJet printers, an attempt is made to use the PC-8 character set
which supports line drawing. The default set of the LaserJet printer
(Roman-8) does not support the line drawing characters. The best way to
find the correct setting for a compatible printer is to print a sample
attendance report.
10-11 SCHOOL YEAR: 1994-95
This setting was made when the new school year was started. This
information is needed to display the proper calendar when the F2 function
key is pressed and for determining the days of the week when recording and
printing attendance information. The year must be entered with the format
1994-95.
10-12 SET TERM START/END DATES
Enter the starting and ending dates of each term for the entire school year.
The dates must be entered with the format 08-25-1994. If you enter the
wrong format, the computer will beep. If you need help, the calendar can be
displayed by pressing the F2 Function key. This program allows up to 80
school days per grading term.
The starting and ending dates are used to store the student absence and
tardy information. These dates also determine the limits for cursor
movement when recording and revising student absences and tardies. Press
the ESCAPE key when you have finished entering the start and end days for
each school term. Press Y for Yes to save these dates to diskette.
10-13 SELECT NON-STUDENT DAYS
All week days between the start date of your first term and the ending date
of your last term are displayed on the left side of the screen. The arrow
keys are used to scroll cursor between dates. Move the cursor to the dates
that the students are not present. Press the letter N to mark Non Student
days. Press the space bar to erase the letter N. Up to 36 Non Student days
can be selected for the school year. When you have finished marking all Non
Student days, press the Escape key. The marked days are listed on the right
side of the screen. Press Y for Yes to save these dates before returning to
the EXTRA MENU.
10-14 TEACHER NOTE PAD
This note pad (up to 10 lines) may be used to store reminders such as when
certain parents get a report, for example after a student misses an
assignment, fails a test, every two weeks, etc. This file is backed up when
using the Back Up selection of the EXTRA MENU.

Pressing the F1 function key displays a help screen for editing lines of
this note pad. The editing help information is used consistently through
out the program to edit text information. Press the Enter key before
pressing the Escape key after editing the last line to have the displayed
information replace the information in the NOTEPAD.GRD file.
10-15 ORDERING INFORMATION

11-1 DIFFERENCE BETWEEN ALT-A AND ALT-I
This is a more complete explanation about the difference between
entering Alt-A for ABsent and Alt-I for INcomplete.
Both cases assume the grade to be a zero until it is made up. It is counted
as a 0 when the individual student average is calculated. For the class
average, the grade AB (ABsent) is ignored in the computation, the grade IN
(INcomplete) is counted as a zero.
Consider an example of 4 students in a class given a test worth 100 points.
Let's assume that 2 of the students had perfect scores of 100. The other 2
students were absent. The average of the test could be figured two ways.
1) just from those students taking the test
(100 + 100)/2 = 100% average
(100 + 100 + AB + AB)/2 = 100% average
OR
2) the average of all students in the class
(100 + 100 + 0 + 0)/4 = 50% average
(100 + 100 + IN + IN)/4 = 50% average
In the first case Alt-A for ABsent was entered. In the second case Alt-I
for INcomplete was used.
The quickest way to update missing assignments is to use the update option
of the MISSING MENU. Grades entered as INcomplete, ABsent, or ___ Blank
will be automatically displayed for fast update. The slowest way to update
missing assignments is to use the Revise Grades of the RECORD MENU.
11-2 ADDITIONAL START UP OPTIONS
Use the instructions on pages 9 through 12 for normal start up. Information
on retrieving student data from a backup diskette or hard drive subdirectory
can be found on page 71 of this manual.
GRADE BOOK POWER is normally started by typing GRADES However, there may
be times when you need to start differently. These additional start up
options are typed after GRADES as indicated below.

11-2-1 GRADES /INSTALL
This option is used to start GRADE BOOK POWER for a new school year. These
complete instructions are found on pages 9 through 12.
11-2-2 GRADES /J
You will be prompted to enter the drive or subdirectory containing the
student grades. This option overrides the subdirectory setting in the CO
file. For example, a department with a legal site license would only need
one copy of the GRADE BOOK POWER program on the computer. All teachers
could use different subdirectories using this option.
When the program is started with the command GRADES /J you will be asked to
enter the drive containing the student data. If your data is on a diskette,
enter the drive letter, colon, and back slash, for example, A:\ If your
student data is in a hard drive subdirectory, enter the drive letter, colon,
back slash, and subdirectory name, for example, C:\GRADES\ Then you will
asked if you are ready to read the new data. Press Y for Yes. This data
drive information will be saved when any settings are saved on the SET UP
MENU.
11-2-3 GRADES /JC:\SMITH\
This start up option automatically accesses data from the SMITH subdirectory
of drive C:. Jones could keep data in subdirectory C:\JONES\ and start the
program with GRADES /JC:\JONES\ Smith could keep data in subdirectory
C:\SMITH\ and start the program with GRADES /JC:\SMITH\ This option is
useful for using a menu selection program to access different directories
with the site license version.
ELEMENTARY TEACHERS:
Elementary teachers could keep both groups of students in the same subdirec-
tory. In the column labeled Grp in the Revise Student Names/I.D.'s, enter
the letter J for Jones or S for Smith for each student group. When using
any of the Elementary print out options (Missing Assignments, Administrative
Summary, Individual Reports, or Student Summary), you will be asked for the
group. Enter the letter J for Jones or S for Smith.
This option can be used with a different set of students kept in different
subdirectories. For example, some elementary teachers swap some students
for different classes. One teacher may teach two classes of math, while her
students may be taught language arts from the other teacher. The teacher
could set up one subdirectory for her regular students, and a second
subdirectory for her extra students.
Create two subdirectories in DOS. Change the following explanation to fit
your needs.

At the DOS Prompt C:> type
MD SMITH and then press the Enter key
Then type MD JONES and press the Enter key
Start the program with GRADES /INSTALL When asked the name of the
subdirectory, enter C:\SMITH\
Use this subdirectory for your regular students.
START the program again with GRADES /INSTALL When asked the name of the
subdirectory, enter C:\JONES\
Use this subdirectory for your extra students.
In the future you would start GRADE BOOK POWER by either entering GRADES
/JC:\SMITH\ or GRADES /JC:\JONES\ depending on which group of students
you wanted to enter information.
11-2-4 GRADES /B
This start up option will use black and white for display. This may be
necessary to read the display of some lap top computers.
11-2-5 GRADES /C
This start up option will force color for display. If the program detects a
monochrome monitor, the color setting will be ignored.
11-2-6 GRADES /1 AND GRADES /2
This start up option is useful to secondary teachers teaching semester
courses. This option forces the computer to read the backup configuration
files for either semester 1 (CONFIG.GR1) or 2 (CONFIG.GR2). Since CONFIG.GRD
contains course names, and some teachers teach differently named courses
each semester, this allows access to semester 1 data after semester 2 has
started. This option is provided even though GRADE BOOK POWER was designed
to record only one semester of data on a diskette, due to data safety and
limitations of DOS (number of files in a root directory).
After using this option, exit the program, and start the program again with
the correct semester number, for example, GRADES /2 so the proper class
names are read from the proper back up CONFIG.GRD
11-3 ENHANCEMENTS PLANNED FOR GRADE BOOK POWER
Windows and Macintosh versions of GRADE BOOK POWER are planned for the
future. Contact WISCO Computing for availability. Customer requests
determine which additional features and modules are added to this powerful
program. An administrative program which can read the GRADE BOOK POWER data
diskettes and generate school report cards will be available in fall 1995.

11-4 NETWORK INSTALLATION
The Site License version of GRADE BOOK POWER will run on the combination of
NOVELL and I-CLASS networks. The item file is:

11-5 FILES CREATED BY GRADE BOOK POWER
The file CO is created on the program diskette. It contains the drive or
drive subdirectory to search for student data.
The file CONFIG.GRD is created on the student data diskette. This file
contains course title and period names, percentages representing different
letter grades, printer number, and information displayed on the SET UP MENU.
Back ups of this file are called CONFIG.GR1 and CONFIG.GR2 The purpose of
the back up files is explained in section 11-2-6.
All files starting with CLASS1. are used for the first class recorded on the
Student Names Menu. Files ending with .NA1 and .NA2 contain student names
and I.D. codes for the class. Individual class settings (categories, method
to calculate quarter and semester grades, and weights) are also in the .NA_
file. CLASS Files ending with .NA1 contain information for semester 1.
Files ending with .NA2 contain information for semester 2.
CLASS Files ending with .DA1 contain the assignments and student points for
all grades in quarter 1. Files ending with .DA2 contain the assignments and
student points for all grades in quarter 2.
Files such as CLASS1.GRD are ASCII files created by selection 9 of the PRINT
OUT Menu. These files can be printed by a program such as Sideways(TM) by
Funk Software.
The file CLASSALL.TMP is the listing file created with selection 1 of the
LISTS MENU.
The file NOTEPAD.GRD is the note pad file created with the selection on the
EXTRA MENU.
ASCII text files created with the RECORD MENU or accessed by the Revise
Student Names/I.D. of the NAMES MENU are named according to their class and
student number. For example, GRTEXT2.S11 is a text file for the 11th
student in the (2) second class.
